Privacy Policy

1. Who we are

Life Maintenance (“we”, “us”, “our”) is operated by Inner Fire LLC. We run the website lifemaintenance.io, the web application at app.lifemaintenance.io, and the Life Maintenance mobile apps for iOS and Android (together, the “Service”).

This policy explains what we collect, why, who else receives it, and what you can do about it. For questions or to exercise any right described here, write to privacy@lifemaintenance.io.

Two related documents sit alongside this one. Health information carries extra rules under some state laws, so it has its own Consumer Health Data Privacy Policy. The companies that process data on our behalf are listed on the Subprocessors page.

2. What we collect

Information you enter

Most of what we hold is what you typed in. You decide what to record, and you can delete any of it at any time.

• Your account: name, email address, and a password. If you sign in with Google or Apple, we receive your name, email address, and profile picture from them instead. We never receive your password for those accounts.
• Things you track: your home, vehicles, appliances, tools, and other items, including make, model, serial and VIN numbers, purchase dates, photos, documents, and warranty details.
• Places: the addresses and rooms you set up, including your home address if you enter it.
• People in your household: for each person you add, whatever you choose to fill in. The fields available include name, relationship, date of birth, sex at birth, photo, email, phone, home address, emergency contacts, school name and contact details, grade level, and education notes.
• Health information about those people: allergies, blood type, medical conditions, medications, vaccination records, and health, dental, and vision insurance provider names, member IDs, and group numbers. This is optional. See Section 8 and the Consumer Health Data Privacy Policy.
• Pets: name, species, breed, birth date, photo, vaccination records, and veterinary contacts.
• Maintenance records: tasks, schedules, completion history, costs, supplies, service providers, and any notes you add.
• Messages to the assistant: what you type into the in-app assistant, and any photo you attach to it. See Section 9.
• Support messages: if you email us, we keep the conversation.

Information we collect automatically

• Usage data: which screens you open, which features you use, and how often, so we can tell what is working.
• Device and technical data: device type, operating system version, app version, browser type, IP address, and a randomly generated device identifier.
• Push notification token: an identifier your device generates so we can deliver reminders. Turn notifications off in your device settings and it stops being used.
• Error reports: if something crashes, we collect a diagnostic report so we can fix it. These are not meant to contain your content, though a crash report can incidentally include a fragment of whatever was on screen.
• Advertising measurement: if you arrived from an ad, we record which campaign brought you, and we tell the advertising platform that a signup happened. See Section 5.

What we do not collect

• We never see or store your payment card number, security code, or full card details. Stripe and the app stores handle payments and keep card data with them.
• We do not collect your precise GPS location. Addresses are only what you type in.
• We do not buy personal information about you from data brokers, and we do not sell yours to them.
• We do not use your content to train artificial intelligence models.

3. How we use information

• To run your account: sign you in, keep your data in sync across your devices, and restore it if you reinstall.
• To send reminders: by email, push notification, text message, or in the app, according to the notification settings you choose.
• To generate schedules: suggest maintenance intervals and tasks based on what you track.
• To answer the assistant: send your question, and the relevant part of your data, to our AI provider so it can reply. See Section 9.
• To take payment: manage your subscription, process upgrades and downgrades, and send receipts.
• To improve the product: understand which features get used and where people get stuck.
• To measure advertising: tell whether an ad we paid for led to a signup. See Section 5.
• To keep accounts secure: detect and prevent fraud, abuse, and unauthorised access.
• To meet legal obligations: comply with the law, respond to lawful requests, and enforce our Terms of Service.

We only send marketing email if you opted in, and every marketing email carries an unsubscribe link.

Legal bases, where the GDPR or UK GDPR applies. We rely on performance of a contract to operate your account and deliver the Service; legitimate interests for security, fraud prevention, and basic product analytics; consent for marketing email, non-essential cookies, advertising measurement, and any health information you choose to enter; and legal obligation where a law requires us to keep or produce something. Where we rely on consent, you can withdraw it at any time without affecting what came before.

4. Who receives your information

We do not sell your personal information. We share it with the companies listed below, each of which does a specific job for us, and only to the extent that job requires. The current list, with links to each company’s own privacy policy, is on the Subprocessors page. Here is the summary:

We may also disclose information when the law requires it, such as in response to a court order or subpoena, or when we believe in good faith that disclosure is necessary to protect the rights, property, or safety of Life Maintenance, our users, or the public.

If Life Maintenance is acquired or merges with another company, your information may transfer as part of that transaction. We will tell you by email, and by a notice in the Service, before your information becomes subject to a different privacy policy.

5. Advertising and measurement

We buy ads, and we measure whether they work. This section describes exactly how, because an earlier version of this policy described it incorrectly.

What happens. Our public marketing pages load tags from Google (Google Tag Manager, Google Analytics, and Google Ads conversion tracking) and from Nextdoor. These set cookies and report page views and signups back to those platforms. Separately, when you sign up or subscribe, our servers can send a conversion event to Meta and to Google containing a one-way cryptographic hash of your email address, which those platforms use to match the event to an ad you saw.

What that means for you. Under California law this counts as sharing personal information for cross-context behavioural advertising, and under the GDPR it requires your consent. It is not a sale: no money changes hands for your data, and we do not provide these platforms with your household contents, your health information, or anything you track in the app.

Your control. On the web, use the cookie banner on your first visit, or open Cookie preferences from the footer at any time, to turn analytics and advertising off. Turning them off stops both the browser tags and the server-side conversion events for your account. Essential cookies stay on, because without them you cannot stay signed in.

The signed-in app. The application at app.lifemaintenance.io and the mobile apps carry no advertising tags at all. Product analytics there respects the same preference.

6. Cookies and similar technologies

Analytics and advertising cookies do not load until you accept them. If you take no action, they stay off.

The mobile apps do not use browser cookies. They use a randomly generated device identifier for the same analytics purpose, and it carries no advertising tags.

7. Information about other people, including children

Life Maintenance is built for households, so most accounts hold information about people other than the account holder: a partner, children, elderly parents, or anyone else whose upkeep you are tracking.

Your responsibility. When you enter information about another person, you are telling us you have the authority to do so. For an adult, that means they know and agree. For a child, that means you are their parent or legal guardian. We have no way to verify this, so it rests with you.

Children under 13. The Service is designed for adults and is not directed to children. We do not offer accounts to anyone under 13. A parent or guardian can, however, add a child to their household, and can record the fields listed in Section 2 about that child, including a date of birth, a photo, school details, and health information.

The wall Dashboard. If your household sets up the Dashboard on a shared screen, a child can tap their own name or photo to see their tasks and check them off, and can enter a PIN if the household set one. The Dashboard records which tasks were completed and when. It does not ask a child for any personal information, does not let a child add or edit information about themselves or anyone else, and does not send anything about a child to an advertising platform.

What a parent can do. As the account holder you can view, correct, export, or delete everything held about anyone in your household, at any time, from within the app. Deleting a person removes their record and their associated tasks and history. If you would rather we did it, write to privacy@lifemaintenance.io and we will handle it. If you believe a child’s information reached us without a parent’s knowledge, tell us and we will delete it.

8. Health information

You can record allergies, blood type, medical conditions, medications, vaccination records, and insurance details for the people and pets in your household. All of it is optional, and the Service works without any of it.

Life Maintenance is not a medical application. It does not provide drug interaction warnings, dosage guidance, diagnoses, or medical advice, and it must not be relied on for any of those. It is a place to keep track of things you already know.

We do not use health information for advertising, we do not share it with advertising platforms, and we do not sell it. It is not sent to our AI provider unless your own question to the assistant concerns it.

We are not a HIPAA covered entity, so HIPAA does not govern this information. Several state laws do, and they give you specific rights. Those rights, and how to use them, are in the Consumer Health Data Privacy Policy.

9. The assistant

The in-app assistant is powered by Anthropic’s Claude models. When you send it a message, we send Anthropic your message, any photo you attached, and the parts of your data needed to answer, which can include your items, schedules, household members, and pets.

Anthropic processes this to generate a reply and does not use it to train their models. We keep your conversation so you can return to it, and you can delete a conversation from within the app. If you would rather no data went to a third-party model provider, do not use the assistant; every other part of the Service works without it.

The family inbox. On the Pro and Family plans you can forward email to an address we give your family, and photograph a flyer on the wall Dashboard. We send the message, its attachments, and the parts of your data needed to read it to Anthropic in the same way, and store the result as a proposal. Nothing is added to your calendar or lists until someone in your family confirms the proposal in the app. Mail from a sender your family has not approved is held unread until a member approves that sender or discards the message. We keep the original email at our email provider, Resend, for the time they hold received mail, and a kept attachment as a document in your account until you delete it.

10. How long we keep information

11. Your rights and choices

These apply to everyone, wherever you live.

• See what we hold: everything in your account is visible in the app. For a full export in JSON or CSV, write to privacy@lifemaintenance.io.
• Correct it: edit any record directly in the app.
• Delete it: delete individual records in the app, or the whole account under Settings → Delete account on web and mobile.
• Turn off analytics and advertising: use Cookie preferences in the website footer.
• Stop marketing email: use the unsubscribe link in any marketing email.
• Stop text messages: reply STOP to any message, or turn text notifications off in Settings → Notifications.
• Stop push notifications: turn them off in your device settings or in Settings → Notifications.

If you are in California. You have the right to know what we collect and why, to delete it, to correct it, and to opt out of sale or sharing. We do not sell your personal information. We do share it for cross-context behavioural advertising as described in Section 5, and you can stop that with Cookie preferences or by writing to us. You also have the right to limit the use of sensitive personal information; we already use health information only to provide the Service. We will not treat you differently for exercising any of these rights.

If you are in the EU or UK. On top of the rights above, you can object to processing based on legitimate interests, ask us to restrict processing, withdraw consent at any time, and lodge a complaint with your data protection authority. Write to privacy@lifemaintenance.io and we will respond within 30 days.

If you are in Washington, Nevada, or Connecticut. Your rights over health information are in the Consumer Health Data Privacy Policy.

12. Security

• All data moves over TLS 1.2 or higher.
• Data at rest is encrypted with AES-256 on our database infrastructure.
• Every table carries row-level security policies, so one account cannot read another’s data even if application code has a bug. We run an automated audit of those policies on every change.
• Passwords are hashed and salted. We never store them in readable form.
• Dashboard PINs are hashed, never stored as typed.
• Access to production data is limited to the people who need it to operate the Service.

No system is perfectly secure. If we discover a breach affecting your personal information, we will tell you and the relevant authorities as the law requires.

13. International transfers

We are based in the United States and your information is processed there. Some of the companies in Section 4 process data in other countries. Where we transfer personal data out of the EU or UK, we rely on the European Commission’s Standard Contractual Clauses, or on an adequacy decision where one applies.

14. Changes to this policy

When this policy changes we update the effective date, add an entry to the revision history at the foot of this page, and, for a change that materially affects your rights, tell you by email or by a notice in the Service before it takes effect.
